Affinity Consultants, LLC ("Affinity Medical Physics," "we," "us," or "our") provides medical physics consulting services and AI-powered educational tools, including the ABR board-prep chatbot, study center, board prep games, and the radiopharmaceutical dosimetry calculator (collectively, the "Services"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
Information We Collect
We collect only what we need to operate the Services:
- Account information: name, email address, and a securely hashed password when you create an account. We never store passwords in plain text.
- Payment information: subscription and invoice payments are processed by Stripe. We do not receive or store your full card number -- Stripe handles that directly and shares only what we need to manage your subscription (such as status and billing dates).
- Usage data: which tools you use, study progress, quiz and game results, and similar activity needed to run the Services and show you your own progress.
- Content you provide: messages you send to the chatbot, dosimetry calculator inputs, and similar content you submit while using the Services.
- Client portal and consulting data: for consulting clients, documents, compliance records, and communications related to your engagement with us.
How We Use Your Information
We use the information above to provide and maintain the Services, process payments, respond to support requests, personalize your study progress and dashboard, send service-related communications (such as billing notices or the daily member briefing), and improve the Services over time. We do not sell your personal information.
AI Processing of Your Content
Chatbot conversations, oral exam simulations, and similar AI-assisted features are processed using Anthropic's Claude API to generate responses. Content you submit to these features is sent to Anthropic for the purpose of generating a response and is subject to Anthropic's own data handling practices as our data processor. We do not use your chatbot conversations to train third-party AI models.
Cookies and Local Storage
The Services use your browser's local storage to keep you logged in and remember your display preferences (such as light/dark theme). We do not currently use third-party advertising or analytics cookies.
Third-Party Service Providers
We rely on a small number of trusted providers to operate the Services, including hosting and infrastructure providers, our database provider, Stripe for payment processing, and Anthropic for AI-assisted features. Each is contractually limited to using your information only to provide services to us.
Data Security
We use industry-standard safeguards -- including encrypted connections (HTTPS), hashed passwords, and access controls -- to protect your information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Data Retention
We retain account and usage information for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account as described below.
Your Rights and Choices
You may access, correct, or request deletion of your personal information at any time by contacting us at the email below. You may also cancel your subscription at any time from your account settings.
Children's Privacy
The Services are intended for medical physics professionals, trainees, and other adults preparing for board certification. They are not directed to children under 18, and we do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the Services after changes are posted constitutes acceptance of the revised policy.
